The perfect resume email subject line
Hiring managers get hundreds of emails a day. Your subject line must be instantly recognizable. Do not try to be clever or click-baity.
The formula: Job Title Application - Your Name - [Optional: Job ID or Reference]

What to write in the email body
The body of your email is your cover letter. Do not attach a separate cover letter document—no one will open two attachments. Write your pitch directly in the email.
Keep it under 150 words. It should take less than 30 seconds to read.
- The Greeting: Use their name. ("Hi [Name]," or "Dear [Name],"). If you don't know their name, use "Dear Hiring Team."
- The Hook: State what role you are applying for and drop your biggest, most relevant achievement immediately.
- The Pitch: Connect your past experience to their current problem.
- The Call to Action: Keep it brief and professional. Mention that your resume is attached.
How to attach your resume
There is only one correct way to attach a resume to an email in 2026: As a PDF.
- Never send a Word document (.docx). Formatting breaks across different operating systems and versions of Word.
- Never send a Google Doc link. It adds friction. The hiring manager has to click, open a new tab, and potentially deal with permission requests.
- Name the file professionally.
