Bypassing the ATS and emailing a hiring manager directly is one of the highest-ROI things you can do in a job search. But if your subject line looks like spam, or your email body is a 500-word essay, your resume will end up in the trash.

The perfect resume email subject line

Hiring managers get hundreds of emails a day. Your subject line must be instantly recognizable. Do not try to be clever or click-baity.

The formula: Job Title Application - Your Name - [Optional: Job ID or Reference]

Good Subject Lines:

  • Application: Senior Product Manager - Jane Doe
  • Marketing Director Role - John Smith Application
  • Jane Doe Resume - Graphic Designer (Ref: #12345)
  • Referred by Sarah Jones: Software Engineer Application - Jane Doe

Bad Subject Lines:

  • Resume
  • Looking for a job!!!
  • Hire me! I am the perfect fit for your team
  • (Blank subject line)

What to write in the email body

The body of your email is your cover letter. Do not attach a separate cover letter document—no one will open two attachments. Write your pitch directly in the email.

Keep it under 150 words. It should take less than 30 seconds to read.

  1. The Greeting: Use their name. ("Hi [Name]," or "Dear [Name],"). If you don't know their name, use "Dear Hiring Team."
  2. The Hook: State what role you are applying for and drop your biggest, most relevant achievement immediately.
  3. The Pitch: Connect your past experience to their current problem.
  4. The Call to Action: Keep it brief and professional. Mention that your resume is attached.

How to attach your resume

There is only one correct way to attach a resume to an email in 2026: As a PDF.

  • Never send a Word document (.docx). Formatting breaks across different operating systems and versions of Word.
  • Never send a Google Doc link. It adds friction. The hiring manager has to click, open a new tab, and potentially deal with permission requests.
  • Name the file professionally. Jane_Doe_Resume_2026.pdf is perfect. Resume_Final_v4_Updated.pdf looks sloppy.
